Privacy Policy
Last updated: October 20, 2026
Answerlytic, LLC (“Answerlytic,” “we,” “us,” or “our”) provides Answerlytic Voice, an AI-powered telephone receptionist for businesses. This Privacy Policy explains how we collect, use, disclose, and retain personal information through our website, administrative portal, telephone service, customer support, and related integrations (collectively, the “Service”).
Contact us at privacy@answerlytic.com, 706-474-3353.
1. Our role
Answerlytic handles personal information in two main roles:
- Customer account information. For information about business owners, employees, and other authorized users who create accounts, use the administrative portal, receive alerts, or contact us for support, Answerlytic generally determines why and how the information is used. In privacy-law terms, Answerlytic is generally the “controller” or “business” for this information.
- Caller information. When a person calls a business that uses Answerlytic Voice, that business generally determines why and how the caller’s information is used. The business is the controller or business for that information, and Answerlytic processes it as the business’s service provider or processor under our agreement with the business.
A customer may download or send caller information to its own systems and may use it under its own privacy policy. If you are a caller and have a question or request about a call, you may contact the business you called or contact Answerlytic using the information above. We may refer your request to that business.
2. Information we collect
Depending on how the Service is configured and used, we collect or process the following categories:
- Account and business information: name, business contact details, job role, business name, user permissions, authentication and sign-in records, subscription and billing records, and customer configuration settings.
- Call audio and metadata: the live audio needed to operate the assistant; calling and called telephone numbers; caller ID information; date, time, duration, call status, routing information, and other call metadata. If recording is enabled for the business called, we also store a recording.
- Transcripts and derived records: a transcript, summary, call outcome, and structured information derived from the conversation, such as the caller’s name, contact details, reason for calling, requested service, location or ZIP code, preferred appointment time, and message.
- Appointments and messages: business hours and availability configured by the customer (and calendar availability, if the customer connects a calendar), appointment details, and messages or notifications created from calls.
- Customer content and integrations: scripts, instructions, business information, knowledge-base materials, and, if a customer chooses to connect them, information exchanged with integrations such as calendars, customer relationship management systems, help desks, or automation tools.
- Support and communications: information contained in support requests, emails, telephone calls, and other communications with us.
- Website, portal, and technical information: IP address, browser and device details, identifiers, usage events, diagnostic logs, security events, and cookies or similar technologies.
We obtain information directly from customers and callers; automatically from telephone, website, and portal interactions; from caller ID and communications providers; and from systems a customer chooses to connect to the Service.
3. Sensitive information
The Service is not designed to collect payment-card numbers, Social Security numbers, government identification numbers, account passwords, detailed health information, or other highly sensitive information. Please do not provide this information during a call or through the Service.
A caller may nevertheless volunteer sensitive information. If that happens, the information may appear in call content until it is deleted under the applicable retention setting. We configure the assistant not to request prohibited sensitive information, but we cannot control everything a caller chooses to say.
Answerlytic Voice is not offered for use subject to the Health Insurance Portability and Accountability Act (“HIPAA”).
4. How we use information
We use or process personal information to:
- Answer calls and interact with callers on behalf of the business called.
- Take messages, schedule and manage appointments, route calls, and send requested notifications.
- Provide customers with call history, recordings, transcripts, summaries, messages, and appointment records.
- Authenticate users, administer accounts and subscriptions, and provide customer support.
- Operate, monitor, secure, troubleshoot, and maintain the Service.
- Detect abuse, fraud, security incidents, and violations of our agreements.
- Comply with law, enforce agreements, and establish, exercise, or defend legal claims.
- Create aggregate or de-identified service statistics that are not reasonably linkable to a person.
We do not sell personal information. We do not use caller information for targeted advertising. We do not use call recordings, transcripts, messages, or other caller content to train generative or foundation AI models, and we prohibit our service providers from using that content for their independent model training.
5. Automated assistant and recording
At the beginning of the call, the assistant identifies itself as an automated assistant and tells the caller that the call may be recorded and transcribed. By continuing the call, the caller acknowledges this notice. The business called is responsible for complying with the recording and consent laws that apply to its calls, and may configure whether recording is enabled.
The business called and its authorized users can access the call records available under its configuration. Authorized Answerlytic personnel may access caller content only as needed to provide support requested by the customer, investigate security or abuse, comply with law, or protect legal rights. Access is restricted and logged.
Automated transcripts, summaries, and appointment details may contain errors. Customers should verify important information and should not rely on the Service for emergency communications.
6. How we disclose information
We disclose personal information only as reasonably necessary for the purposes described in this Policy:
- To the business called and its authorized users: call records, messages, appointment information, alerts, and other information generated for that business.
- To service providers: companies that provide cloud hosting, storage, databases, authentication, email, SMS, telephony, speech recognition, text-to-speech, language-model processing, monitoring, security, support, and related infrastructure. These providers may process information only to provide contracted services to us and are subject to applicable confidentiality, security, retention, and use restrictions.
- To customer-selected integrations: calendar, CRM, help-desk, automation, or other services that a customer directs us to connect. The receiving service’s terms and privacy policy apply to its handling of information.
- For legal and safety reasons: courts, regulators, law enforcement, or other parties when we reasonably believe disclosure is required by law or necessary to protect rights, safety, security, or the integrity of the Service.
- For a business transaction: prospective or actual parties and advisers in a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections and legally required notice.
Our principal providers include Amazon Web Services for hosting and infrastructure and Vapi and selected voice, speech, language-model, and telecommunications providers for call operation. A current list of material subprocessors is available by contacting us.
7. Text messages
We send non-marketing service alerts to staff members only when a business administrator has added the number and represented that the person has consented to receive the messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. Opting out of texts does not prevent other service communications where permitted.
We do not sell mobile information or disclose it to third parties for their own marketing or promotional purposes. We disclose mobile numbers, message content, and delivery information to communications service providers only as needed to send, deliver, secure, and support requested service messages.
8. Retention
We retain each category of personal information only for as long as reasonably necessary for the purposes described in this Policy, the customer’s instructions, and applicable legal, security, accounting, and dispute-resolution requirements.
- Call recordings, transcripts, summaries, messages, and appointment records are retained for up to ninety days after the call and may be deleted sooner at the customer's request.
- Text-message consent records and essential call metadata (without call audio or transcripts) are retained for one year.
- Account and customer configuration information is retained while the account is active and for 2 years afterward, unless a longer period is required for legal or accounting purposes.
- Security logs, support records, and billing records are retained for 2 years.
- Deleted information may remain in encrypted backups for up to one year, during which it is isolated from ordinary use and removed as backups expire, unless retention is legally required.
A customer may choose a shorter retention period where the Service supports it. A legal hold, investigation, or dispute may require us to suspend deletion for relevant records. We also retain limited information necessary to document and honor deletion or opt-out requests.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information. Depending on the system and information, these safeguards include encryption in transit, access controls, logical separation of customer data, access logging, employee access restrictions, vendor review, and incident-response procedures.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe an account or information has been compromised, contact us promptly at security@answerlytic.com.
10. Privacy rights and choices
Depending on where you live and subject to applicable exceptions, you may have the right to:
- Confirm whether we process your personal information and access it.
- Correct inaccurate personal information.
- Delete personal information.
- Obtain a portable copy of certain personal information.
- Opt out of the sale of personal information, targeted advertising, or certain profiling.
- Limit certain uses of sensitive personal information.
- Be free from unlawful discrimination for exercising a privacy right.
- Use an authorized agent and appeal a decision on a request where applicable.
We do not sell personal information or process it for targeted advertising. To submit a request, email privacy@answerlytic.com, or call 706-474-3353. To appeal a decision, reply to our decision or email us with the subject “Privacy Information Request.”
We may request information reasonably necessary to verify your identity, authority, and the applicable record. We use verification information only for verification and related compliance. If Answerlytic processes caller information for a customer, we may forward the request to that customer or ask you to contact it directly. We will respond within the time required by applicable law and explain any permitted denial.
Staff members may stop text alerts by replying STOP. Customers may manage certain account, retention, and notification settings in the administrative portal.
11. Children
The Service is designed for general business communications and is not directed to children under 13. Customers may not configure the Service primarily for children under 13 without our prior written approval and any required parental notice and consent process.
If you believe a child under 13 provided personal information through the Service in circumstances covered by children’s privacy law, contact us so that we and the relevant business can review and address it.
12. Voice biometrics
Answerlytic does not create voiceprints, use a caller’s voice to identify or authenticate the caller, or use call audio for voice cloning.
13. United States processing
Answerlytic provides the Service in the United States and processes and stores information in the United States. If you access the Service from another country, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your country.
14. Changes to this Policy
We may update this Policy to reflect changes to the Service, our practices, or applicable law. We will post the updated Policy and revise the “Last updated” date. If a change materially affects how we use previously collected personal information, we will provide additional notice and obtain consent where required. We will notify account holders of material changes through the Service, email, or another appropriate method.
